Terms and conditions

Participation in the ICBT 2025 from November 17-19, 2025 at Leibniz Universität Hannover (hereinafter: LUH) is subject to the following General Terms and Conditions. These are recognized with the registration.

1 Scope of application / General

The following General Terms and Conditions apply between LUH and the contractual partner for participation in the ICBT 2025.

2 Registration/conclusion of contract/contractual partner

Registration for the ICBT 2025 takes place exclusively online via Indico. The receipt of an online registration is confirmed by an automated e-mail immediately after sending and does not yet constitute acceptance of the contract. The contract is concluded upon sending and receipt of the booking confirmation by e-mail. The contractual partner is the participant in the event. If the registration of the participant is made by a third party and this third party is also named as the invoice recipient, the registering third party shall be deemed to be the contractual partner.

3 Terms of payment

Registration for participation in the ICBT 2025 requires payment of the stated participation fee. The participation fees include the statutory value added tax. As a rule, LUH will invoice the contractually agreed participation fees directly after conclusion of the contract. Unless otherwise stated, the contractual partner in accordance with § 2 must pay these fees within 14 days of receipt of the invoice. The obligation to pay shall apply irrespective of any third-party benefits (e.g. reimbursement by the employer).

4 Withdrawal, termination, rebooking

Cancellation of participation in the ICBT 2025 must be made in text form. If a confirmed registration is canceled, the following cancellation fees apply:

Cancellation until 1st October 2025 no costs
Cancellation  after 1st October 2025 100 Euro cancellation fee

The contractual partner is permitted to prove that no damage has been incurred at all or that the damage is significantly lower than the above flat rates.

5 Cancellation of events / changes

LUH reserves the right to change the location and / or time of the ICBT 2025 or to cancel or substitute other speakers. This applies in particular in the event of the cancellation of speakers at short notice, force majeure or other objectively justified reasons for which LUH is not directly responsible.

LUH reserves the right to change the course of the event. This does not entitle the contractual partner to withdraw from the contract or to reduce the participation fees. The right to terminate the contract for good cause remains unaffected.

LUH shall not be obliged to reimburse travel and accommodation costs, loss of working hours or other damages in these cases and in other cases only if gross negligence is involved. If the participants cannot reasonably be expected to reschedule, the booking can be canceled immediately free of charge.

6 Liability

LUH shall not be liable for damage suffered by participants unless this is due to intentional or grossly negligent behavior on the part of LUH or one of its vicarious agents. Liability for damage to life, limb and health remains unaffected.

7 Information / Data protection / Consent to data storage and advertising

Personal data is stored electronically and processed automatically by LUH exclusively in the context of event and contract processing, see also information on data protection in accordance with Art. 13 GDPR.

8 Film and image material

This event will be photographed and filmed (including sound). The recordings will be archived for documentation and reporting purposes; selected recordings will be published for public relations purposes. Only photos in which no faces or other personally identifiable features are recognizable will be published.

9 Place of fulfillment

The place of fulfillment is Hanover.

10 Applicable law and place of jurisdiction

These GTC are governed exclusively by the law of the Federal Republic of Germany. The place of jurisdiction is Hanover.

11 Right of withdrawal for consumers

Participants who are consumers within the meaning of Section 13 of the German Civil Code (BGB) have the right to cancel their registration in writing within 14 days of receipt of the registration confirmation without giving reasons. Cancellation fees will not be charged. To meet the deadline, it is sufficient to send the revocation to the following address in good time: Leibniz Universität Hannover, Postfach 6009, 30060 Hannover. This right of withdrawal does not apply if the event has taken place and the participant has taken part in it.

12 Severability clause

Should individual clauses of these provisions be invalid, this shall not affect the validity of the remaining provisions. In the event of invalidity, the content of the contract shall be based on what the parties presumably intended, or alternatively on the statutory provisions.
